How to connect your Office 365 or Outlook.com calendar
Connect your Microsoft Office 365 or Outlook.com Calendar to check your availability, prevent double bookings, and automatically add scheduled meetings.
Connect your Outlook calendar
Go to Availability, then Calendar settings.
In your Calendar settings, connect your calendar account:
- To connect your first calendar, select Connect next to Outlook Calendar.
- To add another calendar, select + Connect calendar account, then choose Outlook Calendar.
- If you signed up using an Office 365 or Outlook.com email address, your calendar may already be connected. If it's listed here, you're all set.
Sign in to your Microsoft account when prompted. Once signed in, you'll return to Calendly.
Customize how Calendly uses your Outlook Calendar
After you connect your Outlook Calendar, you can manage how Calendly checks your availability, adds new meetings, and handles changes.
Calendars to check for conflicts
Choose the calendars you want Calendly to check for availability. By default, Calendly will mark you as unavailable when events on those calendars are labeled as Busy, Tentative, Away / Out of Office, and Working Elsewhere.
You'll always be marked as unavailable for busy events. To change how the other statuses affect your availability, select the dropdown for What’s considered unavailable? and uncheck any options you want Calendly to ignore.
When using Outlook Calendar, keep the following in mind:
- You can select up to 4 sub-calendars for Calendly to check for conflicts.
- If you have more than 10 sub-calendars, Calendly will only show the first 10 that Microsoft shares.
- Calendly can only add scheduled events to Outlook calendars you have edit access to. It can't add scheduled events to calendars you can only view. For more info, see Microsoft’s article on sharing an Outlook calendar.
Calendar to add events to
Choose the calendar where Calendly should add new meetings. Calendly won’t add events to any other calendar.
Sync settings
Control how Calendly and Outlook Calendar stay in sync with these optional settings:
- Include buffers on this calendar: Calendly adds buffer time before and after your scheduled meetings as separate events in your Outlook Calendar. When you delete a buffer event in Outlook Calendar, it'll also be removed from Calendly.
- Deleting or declining an event in your calendar will also cancel it in Calendly:
- When you decline or delete a Calendly meeting in Outlook Calendar, it'll also be canceled in Calendly.
- If invitees change or delete the event in their own calendars, it won’t affect the meeting.
Consent and admin approval
If you see an Approval required message when connecting your Outlook calendar, your organization must approve Calendly before it can access your Microsoft account.
