How to use and manage Recommended Follow-ups
Learn how to send follow-ups, manage your recommended contacts, and adjust your preferences for Recommended Follow-ups.
Before you begin
- Connect the Gmail for Workflows integration
Access your Recommended Follow-ups
View contacts who haven't booked yet after you’ve shared availability with them.
From Contacts
- Go to Contacts.
- Select View [X] recommended follow-ups to see all your recommended follow-ups.
Note
The View [X] recommended follow-ups link only appears if you have contacts in Calendly.
From the weekly email
Calendly sends you a weekly email with up to five recommended follow-ups.
- Open the weekly Recommended follow-ups email in your inbox.
- Select Review follow-up emails.
Follow-up from the Recommended Follow-ups page
You can send follow-ups directly from Calendly.
- Go to Contacts.
- Select View [X] recommended follow-ups to access your Recommended follow-ups page.
- Find the contact you want to follow up with.
- Review the suggested follow-up message. It will appear below the contact's name.
- Edit the message if needed.
- Select Send.
The contact will receive your follow-up email right away.
Manage contacts on your list
You can control which contacts appear on your Recommended Follow-ups page.
Remove a contact from the list permanently
- Go to Contacts.
- Select View [X] recommended follow-ups to access your Recommended follow-ups list.
- Find the contact.
- Select Dismiss (the X icon).
The contact is removed from your list and future emails.
View the most recent email thread
Each contact row shows the last email between you and them. Select the message to expand it and see the full conversation.
Adjust your notification preferences
You can manage when and how often you get Recommended Follow-ups emails from Settings → → Notifications.
Unsubscribe from weekly emails
- Open any Recommended follow-ups email.
- Select Unsubscribe at the bottom of the email.
- You'll no longer receive weekly follow-up emails.
Re-enable emails
- Go to Settings → Notifications.
- Find Recommended follow-ups.
- Toggle the setting on to start receiving emails again.
Understand when contacts appear and disappear
Contacts only show up on your list if they meet certain conditions.
Contacts appear when:
- You shared your availability from Calendly with them in the last 3 days
- They haven't booked a meeting yet
- They haven't already received a follow-up from you
Contacts disappear when they:
- Book a meeting
- Just received a follow-up from you
- Are dismissed by you
- Fall outside the three-day window
