Where is my Callie data stored and how is it protected?

This article explains where Callie data is stored, who can access it, and how Calendly protects it.

Where is my data stored?

Calendly stores all data in secure, US-based data centers through Google Cloud Services and Amazon Web Services. Data is encrypted when sent over the internet and when stored.

Your Callie data is kept separate from other Calendly customers' data. Only your organization can access your data.

How does Callie process my data?

Callie processes data differently depending on how you use it.

Callie in Email

When you add Callie to an email thread, Callie reads:

• The email message and context
• Participant email addresses
• Dates, times, or availability mentioned
• Your calendar data to find meeting times

Ask Callie (in your Calendly account)

Ask Callie may access or analyze your Calendly account data to process your request. This could include:

• Your meetings and calendar availability
• Your contacts
• Notetaker recaps (if available)

Does Callie train AI models with my data?

No. Calendly doesn't use your data to train AI models. Third-party AI companies also don't train on your data. This applies to all Calendly AI features.

Who processes my Callie data?

Callie may use these service providers:

• Calendly (main processor)
• Large language model (LLM) providers like OpenAI
• Other approved service providers for AI features

These companies have contracts that limit how they use your data. They can only use it to run Callie and cannot use it for training or other purposes.

How long is my data stored?

Email threads with Callie

Email threads live in your email account, not in Calendly. Calendly processes this information to create scheduling responses but doesn't keep permanent copies of the full email thread.

Ask Callie chat history

Chat history is saved to make it easy for you to continue your conversation when you return to the Calendly website in your current or future browsing session. 

How do I delete data?

Delete from your Calendly account

Use standard Calendly controls to delete:

• Meetings
• Contacts
• Calendar connections

Delete email threads

Delete email threads through your email provider, not through Calendly.

Delete Ask Callie conversations

Ask Callie chat history is securely stored and not currently deleted. In the future, it would be deleted automatically upon account deletion.

Your Callie data benefits from Calendly's security:

• Encryption using industry-standard protocols when data travels between systems
• Encryption using industry standards when data is stored
• Strict access controls that limit who can view data
• Regular security audits and compliance certifications
• Calendly restricts employee access to customer data on a need-to-know basis, including controls such as just-in-time controls and audit logging.
